Written analysis has great significance in today’s business world. It is an innovative activity of the mind. Effective written communication is essential for preparing worthy promotional materials for business development. The speech came before writing. But writing is more unique and formal than speech.

Effective writing involves a careful choice of words, their organization in the correct order in sentences formation as well as the cohesive composition of sentences. Also, writing is more valid and reliable than speech. But while speech is spontaneous, writing causes delay and takes time as feedback is not immediate.

Planning the Message

A logical first step in writing a business message involves planning. This is the stage in which you think through your writing project and develop a plan for doing it. Then you determine the objective of the message. Next step is to predict the reader’s reaction to your objective. Your prediction will determine the plan of the message you write.

Gathering and Collecting the Facts:

With your plan in mind, it is: logical for you to get all the information you will need in writing the message. In the business situation, this means finding the past correspondence, consulting with other employees, getting sales records, warranties, product description etc.

Analyzing and Organizing Information:

If you predict the reader will react to your message positively or even neutrally; you will usually organize the message in a direct plan. In positive situations, you are likely to have no need for opening explanations or introductory remarks, for these would only delay achieving your objective.

Writing the Message :

With your plain in mind, you write the message. You should write it in a clear and effective manner choosing the words the reader understands, constructing sentences that present their contents clearly, using words that create just the right effect. You should carefully follow the text instruction for the message you are writing.

In actual business practice, your first draft may well be the final draft, for often time will to permit additional. work on the document. But sometimes, many times we need to rewrite our work.

Editing and Presenting the Final Document:

After you have made all the changes you think are needed, you should construct the final draft. Here you become a proofreader, looking for errors in spelling, punctuation, and grammar
